Job Purpose
Ensure the accurate and timely processing/ reconciliation of financial transactions for the region in the accounting system as per EKs financial procedures and in adherence with local legislation.
Job Outline:
 Accounts Payable:
<ul>
<li>Manage and supervise all aspects of the payable accounts function at the station and for other regional countries if relevant, ensuring that the Company's books are updated on a daily basis and that payments are processed accurately and within guidelines laid down by company procedures.</li>
<li> Ensure invoices received from region in central AP mailbox are processed timely to accurately reflect EK's liabilities to creditors.</li>
<li> Ensure supplier contracts are valid and where they are nearing expiry, ensure that revised contracts are in place in good time. Take active measures to update contracts in the required systems.</li>
<li> Proactively switch from paper invoices to EDI format with suppliers to streamline process.</li>
<li> Perform rate verification in DMS diligently and timely.</li>
<li> Ensure that suppliers without contracts are reviewed and approved by HO accordingly.</li>
<li> Take the lead in ensuring that suppliers are paid on time and ideally by EFT.</li>
<li> Review various AP reports to ensure that errors are corrected timely to facilitate a smoother month end process.</li>
<li> Respond to supplier queries in an efficient manner.</li>
</ul>
 Accounts Receivable:
<ul>
<li>Manage and supervisor all dedicated ongoing Finance receivable activities for the Passenger and Cargo sales business to ensure all receivables are correctly accounted for in a timely manner and in compliance with local regulations.</li>
<li> Ensure receipts are processed timely for the entire region and allocated accurately to customer invoices.</li>
<li> Ensure receipts are banked within specified time limits or as per agreement with cash collection provider.</li>
<li> Reconcile BSP/ credit card party accounts and highlight short settlements immediately to line manager.</li>
<li> Review bank reconciliations daily and account for transactions in AR/ GL module as appropriate immediately.</li>
<li> Closely monitor undercollections and work efficiently with Commercial to ensure action is taken timely.</li>
<li> Ensure outstanding debt from credit parties is collected timely as per Group Policy.</li>
</ul>
 General Ledger:
<ul>
<li> Process journals in accurately in timely manner so that monthly timetable is met.</li>
<li> Prepare data in order to conduct reconciliations for appropriate nominals.</li>
<li> Prepare standard reports for monthly file which is reviewed by Internal Audit and OF&amp;RM Finance Review Team.</li>
<li> Prepare reports for local tax filing.</li>
<li> Prepare data for monthly KPI submission.</li>
<li> Prepare bank reconciliations for review.</li>
<li> Assist with repatriation process to ensure that surplus funds are remitted to HO and working capital is maintained as per Group Policy.</li>
<li> Assist Financial Controller where necessary in ad hoc projects.</li>
</ul>
 Payroll:
<ul>
<li>To compile and process all payroll elements including basic salaries, allowances, overtime, shift pay, pension contributions, employer and employee social security contributions and relevant taxation in compliance with local regulations to all staff on payroll within required time limits. Ensure the relevant payments are submitted to local authorities in a timely manner and all payments are in line with individual terms and conditions of employment.</li>
<li> Compile and provide all payroll information, including the reconciliation of tax and social security and pension on a monthly basis and send payments to the appropriate parties so that this can be computed in accordance within the specified time frame.</li>
<li> Prepare payroll data entry into Finance software so that all relevant reports are completed in a timely manner.</li>
<li> Seek clarification with external legal advisors on taxation, payroll or any other upcoming issues to ensure that all year end returns are submitted on a timely basis.</li>
<li> Scrutinise all staff expenses, process salary advances, medical expenses and any other staff loans to ensure correct payment or recovery of same through payroll, and reconcile the related ledger account.</li>
<li> Maintain and reconcile Petty Cash account where appropriate, and analyse and reimburse Petty Cash returns from other stations from within the country as appropriate.</li>
<li> Ensure charges from personal telephone calls are recovered from staff on a monthly basis and mobile telephone bills are paid in line with the company guidelines.</li>
<li> Reconcile the pension account and assist with various pension and other queries from staff, department heads and various external parties.</li>
<li> Assist FAM and undertake various administrative duties together with other relevant finance personnel as necessary.</li>

Qualifications &amp; Experience 
Finance &amp; Insurance. Station Accounting :
Qualifications:  
<ul>
<li>Degree (Recognised professional accounting qualification to the standard of Chartered Accountant, CPA or similar preferred) Experience:  </li>
<li>Min 3 years of professional experience, of which 2 years must be in a supervisory capacity</li>
</ul>
Knowledge/skills: 
<ul>
<li> Knowledge of rules and procedures under the local laws to take care of statutory requirements as necessary</li>
<li> Ability to function independently within an established framework and to be practical and innovative  </li>
<li>Proven experience in both supervising a finance function and in coaching and developing staff as well as experience in working in a large multinational and dealing with stakeholders from different countries.  </li>
<li>Proven ability to organize a busy work schedule, working under pressure and ensuring adherence to deadlines.  </li>
<li>Knowledge of local payroll, taxation, statutory and compliance requirements.  </li>
<li>Proficient in the use of MS Office, in particular spreadsheets and ERP systems.  </li>
<li>Comprehensive knowledge of airline accounting procedures and familiarity with IATA regulations with regard to Passenger/Cargo/Excess Baggage sales is advantageous.</li>

Finance Officer

JOB PURPOSE
<ul>
<li> Provide existing and potential customers with a superior and consistent quality service, both directly and in conjunction with GHA. Provide information and system support to customers with regard to rates, details, bookings, connections, regulations and other enquiries and oversee the service from GHA.</li>
</ul>
JOB ACCOUNTABILITIES LINKED TO OBJECTIVE AREAS (MAXIMUM OF 10)

<li>Monitor and oversee the service provided by GHA to ensure it is in line with EK standards, including build instruction, maximisation of available space, load control, safety and ad hoc flight instruction</li>
<li>Monitor import cargo receipt and breakdown; resolving any related issues</li>
<li>Prepare and verify accurate cargo documentation, including monitoring of consignment status and ensuring correct documentation is available in accordance with local regulation and company policies</li>
<li>Update flight handling reports including identification and monitoring of irregularities and discrepancies</li>
<li>Dispatch post flight information to the correct departments in a timely manner.</li>
<li>Receive and process cargo telephone reservations in a prompt, accurate and efficient manner</li>
<li>Resolve customer queries, complaints and claims, including those escalated by Cargo Agents</li>
<li>Complete administrative duties as directed by the Cargo Supervisor/Officer, including data entry, statistics and reports</li>

Senior Cargo Assistant

Job Purpose
Provide existing and potential customers with a superior and consistent quality service, both directly and in conjunction with GHA. Ensure efficient day to day operations within the location by guiding and directing the team and ensure adherence to EK SkyCargo procedures.
Job Outline:
<ul>
<li>Plan, organise and co-ordinate the operational activities to ensure optimal efficiencies and productivity, delegating responsibilities to and controlling subordinate staff and GHA/third party contractors as appropriate.</li>
<li>Monitor and oversee the service provided by GHA to ensure it is in line with EK standards, and where there are shortcomings, to address these appropriately and timeously</li>
<li>Resolve problems arising such as delays, disruptions, cargo mishandling and transfer cargo in order to minimise cargo off loadings and maximise utilisation of space available.</li>
<li>Review, collate and compile the cargo documentation for cargo uplifted on flights in accordance with local regulations and company policies</li>
<li>Ensure accurate completion of all post flight activities including dispatch of message, forwarding documentation and completion of station file. Where required, take appropriate action for any irregularities/ discrepancies</li>
<li>Investigate and respond to queries, complaints and claims received from internal and external customers in an efficient and timely manner</li>
<li>Update and maintain Cargo Systems in order to provide the requisite customer service information, including rate filing and facilitate accurate revenue accounting</li>
<li>Supervisory accountabilities:</li>
<li>Motivate, train and give feedback to staff to ensure all tasks are completed on time and to ensure high standard of service is maintained.</li>
<li>Undertake various administration functions including rostering of staff, completion of performance appraisals, reordering of stationery as required.</li>

Qualifications &amp; Experience

<li>Logistics/Cargo.Air Cargo: Educated to GCSE (or equivalent) with at least 6 years experience in a Cargo Operations environment, including at least 4 years Cargo experience in leading a team. OR Educated to A-Level (or equivalent) with at least 4 years experience in a Cargo Operations environment, including at least 2 years as a Cargo Agent with previous experience in team leading.</li>
