DISTRIBUTION ASSISTANT

Role Purpose:

This position will be responsible for ensuring timely, in full and error free delivery of goods to the external and internal customers and using the company trucks towards revenue generation.

Key Duties and Responsibilities:

Distribution

a) Manage the company trucks by doing daily trucks inspections and updating all records.

b) Plan, coordinate and ensure OTIFEF delivery of goods to destinations/customers

c) Ensure safety of products on transit until point of offloading/destination

d) Maintain and daily, weekly and monthly truck operations records

e) Compile the trucks fleet performance reports at the end of every month.

f) Develop trucks route weekly route plan to ensure proper truck engagement to generate revenue

g) Ensure adherence trucks service and maintenance schedule

h) Ensure adherence to all road traffic rules

i) Accurately compile all claims incurred during delivery for reimbursement

j) Accurately confirm what is being loaded and offloaded from the truck during delivery or collection.

k) Ensure proof of delivery by getting stamp from the customer for all delivery done.

Safety Health and Environment (SHE) & Food Safety

a) Actively Participate in 6K, CI, SHE, FSMS/GMP /PaTaMu, activities in the respective sites.

b) Identify and report all quality and food safety issues during daily operations.

Personal & Vehicle safety

1. Avoid use of mobile phones while driving unless hands free or mounted on the motor vehicle communication gadgets in place for the safe use of the vehicle
2. Wear personal seat belt at all times when driving and ensure all Passengers are buckled up as well
3. Proper check of vehicle before starting a journey and prompt report made of any defects noted.
4. Ensure no driving is done under the influence of alcohol, drugs or any other drugs under prescription that may bring about dizziness.
5. Ensure the motor vehicle is not left unattended while the engine is running
6. Ensure the safety of self and vehicle at all, times.

Vehicle Maintenance

1. Guarantee vehicle is kept secure at all times
2. Ensure vehicle is kept clean, tidy and in good working condition at all times
3. Confirm vehicle is given regular/day-to-day maintenance checks
4. Check vehicle repairs are carried out properly by official authorized dealers.
5. Perform minor repairs and arrange for other repairs

Vehicle Records Monitoring

1. Prepare and submit vehicle monitoring report, including records of vehicle operations, maintenance, expenses, mileage, at end of each month
2. Fill in the Motor vehicle register before the start of journey indicating staring Odometer and at journey end indicating the closing Odometer reading.

Compliance

1. Confirm vehicle insurance and registration is updated according to schedule.
2. Adhere to the Health and Safety and Security Rules and Regulations, Business Code of conduct and personal hygiene guidelines.
3. Obey the set out Traffic rules as cited in the traffic Act Cap 403 laws of Kenya and any other related statutory priorities –Rules on motor vehicle management, traffic
4. Report all accidents as required by the Company Policy, Statutory Traffic and regulations.

Use of Fuel Cards

1. Ensure the car fuel card allocated is used for company authorized business only
2. Bare full responsibility for use of the assigned fuel card.
3. Track and have full knowledge of all transactions regarding the card
4. Surrender all receipts of the fuel consumed by the 5th day of every month.

Job Requirements

Minimum Requirements:

1. Diploma Certificate
2. 3 years driving experience with BCE License
3. Time management skills
4. Excellent verbal and written skills
5. Ability to prioritize, coordinate and manage multiple tasks
6. Ability to work under minimal supervision and maintain confidential information
